Automatically Populating A Table Field Based On LOOKUP Value?

Nov 15, 2013

I have two tables, "Membership" and "Class." The Class table has a class ID, class name, and cost of the class.

In the Membership table, I have a field to accept a class ID that is entered by a user. I also have a column called Tuition. When the user enters a classID in the Membership table, I would like the dollar amount associated with that classID to automatically appear in the field called Tuition in the Membership table.

I tried the LOOKUP data type and calculated fields, but no luck. I know that DLOOKUP can be used on forms, but I don't see how it can be used directly with tables.

Is this even possible?

General :: Automatically Update Field Based On Entry In Another Table

Jan 14, 2013

I have two tables, one called 'Company' and one called 'Person'. Both tables have several fields, but they both have the same primary key, i.e. 'Naam'.

When I type in a name in the 'Person' table, I'd like the 'Company' table to automatically display the name too. So for example if I type in 'John Doe' in the person table, I want to be able to switch to the 'Company' table and have the same name displayed there, automatically.

Automatically Set A Field Based On A Field In Another Table

Aug 12, 2005

I have two tables, each has a "status" for a project. In the first table there is only one instance of each project name, in the second table there may be more than 1, will always have the same name but may have a different "Status" (field).

I need the Status field of the first table to be set to "Assigned" if ANY of the records in the second table pertaining to that project are set to "Assigned".

Can I do this with my table or will I need to do it with a query/form combination?

Thanks,

Populating A Field Automatically OR Allowing Manual Entering Of Data

Sep 26, 2005

I have a simple table with two fields in that table called:

1. BankName
2. BankNumber

Each bank has a bank number. For example Bank XYZ and all of its branches have the same Bank Number 123. There are 5 banks I have listed in a combo list under the BankName field. I can also type in a different bank in that same field if it is not listed in the combobox list.

Now, I want the BankNumber to automatically populate based on what I choose under BankName. If the BankName is manually entered (for banks that are not in the combobox), or if the BankName field is blank, I want the BankNumber field to be able to enter a number manually.

For example, if I go to the BankName field and under the combobox I select Bank XYZ, i want the BankNumber field to automatically populate as 123. If the BankName has a bank name that was manually entered, i want BankNumber field to allow me to manually enter a number.

Thanks for ur help. I couldn't figure this simple request out.

Tables :: Possible To Automatically Lookup Data In A Table Without A Query?

Jun 18, 2013

A field in a table can be populated by a lookup up but it has to be done manually or with a form.A "new" table can be created with a query that matches the data.

Is it possible to skip these steps and create a field that automatically populates with the data from another table based on other common data?I can do this in Excel but not sure it can be done in Access.

Populating One Field Based On Another?

I've got three tables. One is Jobs, where Job_ID is the primary key. Each job has a client_id, which is another table.

In the third table, where timesheet data is entered, I've got both the Job_Id and the client_id.

Is there a way to make the client_id auto-populate based on the job_id in that table?

Modules & VBA :: Populating A Table Based On ListBox Selection

I have a form with a Listbox which lists Customers and a variety of customer information

I also have a table on the form that lists the donations that customers have made.

How can I populate the Table based on the customer that is selected in the Listbox?

There is an ID field that links Customers with Donations

I'm guessing I need some code in the ListBox_CLick() event that triggers the table to query or to Load with a query based on the ListBox.Column(0) which contains the ID?

Populating A Table With Data Based On Drop Down Boxes

Sep 6, 2011

I am trying to setup a database in order to demonstrate a tie in between active directory and the HR side of a business. As such, I would like to select two fields from drop down menus that reference in Department and Location tables, but use this data to actually Populate the Personnel Records table rather than Query.I know this is not normally best practice from a DBA perspective.

I have this setup already in Filemaker, just through using relationships. However, I want to move to Access, as it is more industry standard and much lighter weight, so am trying to find the best way.I have attached two pics of my filemaker database, and a zipped copy of my Access file.

Automatically Populate A Date Field Based On Value Entered In Another Field

Nov 10, 2005

I need to create a New Form control for this situation:

If I enter a date into a field and the choice for another field is equal to a certain value. How can I get the date I entered to be automatically populated into another date field.

For example:

If I enter 11/10/2005 in a date field and I choose either "BN", "BA", or "BT" in a text field, I need that date of 11/10/2005 to be automatically populated in another date field on the same form.

Any help is greatly appreciated.

Tables :: Automatically Fill Field Based On Keywords In Another Field

Dec 3, 2013

I'm trying to complete a database.

It is to manage details of pupils with additional support needs, and plan for the extra arrangements the school will provide for assessments.

It has 2 Tables

tbl-PupilDetails
-ScottishCandidateNumber primary key (Unique number which identifies pupils to the exams board)
-Forename
-Surname
-DOB
-YearGroup
-Class
-NatureOfNeed (memo)
-EvidenceOfNeed (memo)

tbl-SubjectLevelArrangement
-ID Primary key, Autonumber
-Pupil foreign key to tblPupilDetails
-Subject
-Faculty
-Level
-Arrangement

I currently use forms for adding new pupils, and updating pupil subjects/arrangements/levels.

I also have forms to search for specific pupils, and to create lists for faculty heads showing which pupils are taking subjects within their faculty and the arrangements we expect to provide.

I use the forms to run queries, which can then output to reports for printing.

Where I am currently having an issue is the faculty field in the tbl-SubjectLevelArrangements. (If I didn't have to report to faculty heads I would just leave it out, but management will insist.)

Currently I have a form with dropdowns for adding subject, faculty, level and arrangement manually. This is acceptable for the subject, level and arrangement because they are completely interchangeable and dynamic throughout the academic year as pupils may drop down a level, or change the type of arrangement they require.

However as faculties are inextricably linked to subjects, I want to remove the possibility of human error. i.e. when a user (me) chooses either geography, history, or RE, then the faculty will always be Humanities, likewise if the user chooses French, German, or Spanish, then the faculty can only be Modern Languages etc.

I'm convinced there must be a very simple way to ensure that the faculty field prefills based on the limited keywords available in the subject field, but I just cannot figure it out.

Estd_Point = "Earlier Established"
Esle
Estd_Point = "OK"
End If
Estd_Remarks = Estd_Point

Private Sub Detail_Format(Cancel As Integer, FormatCount As Integer)
If Estd_Remarks = "Ok" Then
Me.txtRemarks = "Ranked & Sortlisted"
Else
Me.txtRemarks = "Estd_Remarks"
End If
End Sub

When preview the report then it shows
Compile error
Argument optional

Seeking Advice! Populating Fields Based On Other Entries In Table

Dec 6, 2004

Last week some very altruistic folks here helped me solve a many-to-many relationships quandry, and I am hoping that there may some others out there who can help with another question.

I have a feeling this is simple, but I can't quite get my head around it, and have not been able to find it in the past forum threads, but....

I want to create a tblJobs that has information about our clients' Companies, as well as Contact. As there can be many Contacts for each Company, my current setup looks like this:

tblContacts
ContactID (Pkey)
Name
Lookup_to_qryCompanies_to_Contact(shows Contact's company)

tblComanies
CompanyID (Pkey)
Company Name
(Client info is included as embedded table based on qryCompanies_to_Contact)

qryCompanies_to_Contact
Company (from tblCompanies)
Contact (from tblContacts) (one-to-many)

In my new tblJobs, I would like to have a combo box in which I can input the company name, and then the next field will have another combo containing ONLY names of the contacts affiliated with the chosen company. (I will also eventually like to make a form that allows the same function, but am assuming that the process will be the same for updating the table trhough a form as it would be updating it directly).

Thank you for any advice!!

These tables all contain the names of employees, training courses, and department in one field and their respective ID codes in the other.

The 4th table is the actual log where the manager logs in who took the training courses. When the manager goes to select the employee name, course name, and department name is there a way not using VBA for the respective ID number to appear in the 4th table (they use the same field names and are related)

How Do I Automatically Make A Set Of Records Based A(some) Main Table

Nov 28, 2007

Hello people,

I have for some time now been fooling around with a database to keep track of several clinical trials
Basicallly I have made 4 tables..2 which defines the project ( Project and visist), 1 that populates the projects ( patients) and 1 that bind the patients visits to specific dates ( appointment)

The trouble is that im Lazy :D and therfore dont want to enter the appointment data for all patients one at a time each time we get a new guniea pig since all thats diffferent is the dates he/she has to show up.
Im hoping for some way to fill up my appointment table based on patientID and projectID alone.

SO this is my 4 tables... ( some unimportant fields left out)

Project
ProjectID (PK)
ProjectName
ProjectDescription

Patients
ProjectID(FK)
PatientID(PK)
PatientName
patientScrnr

Visits
ProjectID (FK)
VisitID(FK)
VisitName
VisitPrice
DaysToNextVisit ( integer)

Appointments
VisitID(FK)
PatientID(FK)
AppointmentDate
AppointmentID ( PK)

The idea is to create a project and then add a set amount of visits to the project ( days when they have to come and get a blood sample taken)
All patients involved in the project is likewise added in the Patients table and joined to a project.

Since the patients all have to come to a fixed amount of visits ( determined by the project) I was thinking I could make a form where I pick a patient from a combobox
(select projectID,PatientID,PatientName) and then automatically generate a record for each visit in my Visit table where Visits.ProjectID = cboPickPatient.ProjectID
and show them in a subform so I can enter the date they have to come. I hope that makes sense. ( preferably I would like to add the date also by just entering the first Visit date and the using the DaysToNextVisit to make the other visit dates or each patient, but thats a whole other problem :o )

My instinct tells me I have to do some sort of loop code but I havent figured out the details.

Can any of you guys lead me in the right direction before I loose all my hair in frustation??

This seems to me to be a pretty simple problem-making a recordset based on a projectID and the visits involved in that project but im just out of ideas:confused:

Kind Regards,

Brian Bj

Create / Update A New Table Automatically Based On Two Other Tables?

Aug 6, 2015

I created two tables, let's refer to them as Cars (VW, BMW and Audi) and Colours (White, Black and Grey).

Is it possible to create another table based on these tables - i.e. in the new table the rows will be the Cars and the columns the Colours as such:

White
Black
Grey

VW

BMW

Audi

And should I enter another Car or Colour in one of the first mentioned tables, then I would like this "new" table to update automatically. For example, if I have a new Car (say, Merc), then I would like the "new" table to update to the following:

White
Black
Grey

VW

BMW

Audi

Merc

Forms :: Hiding Columns On Subform Based On Multi-Value Lookup Field

Aug 7, 2013

I want to use VBA to hide columns in a subform based on what is checked in a multi value look up field.

I am creating this DB for use with sharepoint as a web database, which is why I am using the lookup field to begin with. There will be a client DB to use with some VBA code

So what I have is a lookup field with tests "Test 1, Test 2, etc" on form sample.

There is a subform called results, and I want to hide certain columns based on what tests are performed.

I tried using an If Then statement (code is being run on subform load)

If Me.Parent.fieldTest = "Test 1" Then
Me.Test1Col.ColumnHidden = False
Else Me.Test1Col.ColumnHidden = True

That is basically the code I was trying to use. I am getting an error 13, which I assume is because fieldTest can not = something since it is a multi value look up field.

Field To Automatically Fill With Correct Value Based On Information In Multiple Fields

Apr 16, 2012

I have a database in which we are trying to have a field "Headcount" automatically fill with the correct value based on information in multiple fields. The "Headcount" field will be based on about 6 or 7 rules. Most of the rules i can figure out, but im having trouble figuring out what the best way would be to search for a single individual's projects when they are on more than one project at a time. I thought about using a counter of sorts to count how many projects someone was one, but how do I pick them out of the entire table once i have found out the number of projects? Would a for loop work best or just many if statements?

Two ID Fields With Cross-populating Lookup

Apr 26, 2012

So, the Person table has 2 IDs (neither is the primary key of the table, like SSN and HRID). What the customer wants is to show both IDs in the Orders table.I'm having trouble getting the table to populate the second ID field based on what is selected from the drop-down in the first ID field.

Person table (ID, FirstName, LastName, SSN, HRID)

Orders table (ID, PersonSSN, PersonHRID, etc.)

If I populate the Look-up field of PersonSSN as 'Select SSN, HRID from Person' (use column 1 as value), how do I get the HRID field to populate when someone selects a SSN value from the Person drop-down?And the follow-up, can I get the same thing to happen in reverse (i.e. populating the PersonSSN value when the customer selects an HRID from the PersonHRID drop-down)?

Automatically Populating Fields/columns

Dec 21, 2005

I have Two tables one table has a Master list of products (ProductMaster) with a Unique product code (ProductMaster.UQ_ID).
The second Table has Order data. The Second table (OrderTable) is where I will enter the product code (UQ_ID) which is the unique Identifier which is also in the ProductMaster. As soon as I enter the Prodt code in the OrderTable I should have all the related fields filled in from the Product Master.

Columns in The ProductMaster = Product_ID, Product_Manucaturer, Product_Weight, Product_Color, Product_Size

Columns in The OrderTable = Product_ID, Product_Manucaturer, Product_Weight, Product_Color, Product_Size, Order_Date, Ordered_By

The columns marked in red are the ones that will have to be automatically fetched from ProductMaster

The data in the second table should be populated from the ProductMaster as soon as I enter the Product_Code. The rest of the details Can be filled manually filled in.

Is it possible to do this with Access. I have tried different expressions in the Fields without much use. The Documentation from Microsoft is very weak. If someone knows a solution or where the documentation is, please help.

Thanks
