Issue Tracking Database
Hi team.
I've had a bit of a search around the forums and haven't found this anywhere.
Does anyone have a sample issue tracking database for an IT department?
I don't have too much Access experience so am looking for a little bit of a headstart on this. It seems relatively basic though.
The fields I think I will be needing are the following:

Tracking Changes To Database
Is there a way to track changes made by different users to access tables? For instance if several users update or change data in various records is there a way to track when and what was changed (before and after data)?

Tracking Database Help
I consider myself an intermediate ACCESS user and can get around it with little trouble with the help of the internet and the help file. I am trying to design a database that is fairly simple in design, it is for tracking the status of documents at our work center. Basically we have personnel reports that are passed around the different people and different dates. I have a main form that has the info on the person along with dates that it is due. Then a sub form that has the date sent and where it went to. My problem lies in that I want to keep track of the whole history of the document but when i print out a report or export the data to excel to put up in powerpoint I need to have just the most recent date sent only item. I have 2 tables one with user info and another with the routing info with its own primary key along with a identifier key to link the primary and sub form. Of course it is easy to create a report with the data to show all the different routing steps but not just the one with the most recent date. Thanks in advance for the help.

Employee Tracking Database
Would like to hear from anyone that has designed a database that can be used to track employee compensation on a year to year basis. I am current designing a database to do just that but I'm having a hard time deciding on how to setup the tables. What they use this for is yearly reviews so I need it to be able to pull data from prior years and the current year. I've designed one but don't think its going to work for me. Just interested to see if and how someone has done the same thing. Thanks, Chester

Specific Item Tracking Database
Hello Everyone, I've been looking at all the fine db samples and advice provided in this forum and they are giving me a huge boost in my new job as a DB Admin. :D Since this forum has a very active group and you guys know and done it all, ;) I thought I would ask if anyone out there has done or could give me an idea on how to buid the following db: I need to create a db that will keep track of a specific item from the moment it comes in 'til it goes back out. This could be weeks in the process. What happens is that this is a program where people donate old worned out wheel chairs and they get totally overhauled. As the chairs come in they need to be tracked from start to finish to see where they came from (Somewhere in the USA), what process it took to overhaul it (ItemID and Current location [Storage, Repair BIN, Repair Table, Completed Tabe, Outbound Table, En Route to Destination, etc] and status [For parts, fixable, paint room, repair room, completed]) and where they were donated to, a city in some foreign country (Africa, Asia, Mexico, South America, Etc.). If someone has something I can use would be great, but if not any idea on how to do it best, would be greatly appreciated. Thanks! René

Newbie Needs Help With Tracking Inventory In Orders Database
I am developing a database for a friend and have all the relationships, tables, forms, queries and reports working well. I used the orders template to build this and just made a few changes. I have an orders form with an orders details subform that works beautifully. There is also customers table, employee table, products and inventory table. The inventory table has product ID, units in stock and reorder level as the only fields. I need an easy way to have the orders detail form decrease inventory as items are ordered and also some sort of way to enter restock. Can anyone offer advice that a beginner can understand in regard to this? I wrote an update query that he can run that will subtract the qty ordered from the units on stock for orders with order date >= whatever date he enters, but if he enters a date he's previously updated it will update those records again. I think this is not a good way to go but the only way I could accomplish. I have him using the same order entry form with customer name Restock to add items to inventory by putting an if then else statement in the before mentioned update query. This just adds to inventory if customer name="Restock" else the qty ordered is inventory units in stock -qty ordered. I'm sure someone can suggest a better way. A friend mentioned dsum function but can't explain how to apply it in this instance. Thanks so much!!!!

Looking For Free/shareware PDA And Cell Phone Tracking Database
Hi, I have a list of 500 PDA users, spread over 7 offices. I want to keep an eye on what happens with the devices and their SIM-cards. As they are often swapped between offices and SIM-cards get lost. I am pretty sure that I don't have to re-invent the wheel. Do you have any idea of a free/shareware tracking tool for PDA's and cell phones ? Thanks in advance !

Database Issue
I have recently revampent my companies database, including new titles (company logo) etc in forms etc. The file size has since gone from around 5mb to 300mb. The (company logo)image file sizes are small only around 300kb so this should be a problem. The databse is also networked through a shared folder on the server pc. Can you help me reduce the file size or change something else to increase the performance of the database?

Database Security Issue
Dodgy error - please help guys if you have any ideas! I'm desperate, this is a crucial client contacts database which is completely inaccessible. When opening access and creating a blank database, what can cause a security login window to pop-up which is supposed to belong to a specific access database only? Tried a complete uninstall/reinstall to no avail. Where is this security info held? The background is that I have a ‘helpdesk’ database with password security which worked for many months. A few days ago an oddity developed where any other access database being opened popped up the helpdesk database login window. The helpdesk database password was refused and the databases do not open. If trying to create a new blank database in access, again the login popup showed and accepted no passwords. The original helpdesk database during this time remain fine, login window pops up, password accepted, all functions OK. In desperation to be able to work with other databases, I decided to try and remove the helpdesk databases security settings and have now screwed that database up! Don’t you just hate novices! Anyway, what I did was to Clear the Password for the Admin user via Tools>Security>User & Group Permissions. The result of this was initially that the login window did not appear but a message window popped up to tell me I had no permissions to open any of the tables/forms etc. So, how do I untie this mess?!? Totally fuddled about the security.mdw fellow who I am sure is at the root of this. Quirkily, the helpdesk database on my PC can be opened across the network from another PC without the login window arising but it is a read only copy with restrictions denying the opening of any tables etc so I cannot even import/export my data. Any suggestions appreciated. Thanks in advance.

Database Design Issue
Hello, I'm designing a database for a small country club for skiing, and am running into an issue. One of the goals of the database is to keep track of how many times potential members try out the skiing, currently we are storing the dates they ski in the same table as all of their personal information, We need to keep track of each individual date, so there are field for first visit, second visit, etc. We need to be able to run a report in which it can search the six date fields and pull up all records within a date range, is this possible, or should I create an additional table which stores dates, and is linked to the guest ID? your help is greatly appreciated!!!!! Thanks, Brian

Database Structure (many To Many Issue?)
Hello, I am looking for someone's professional opinion to help me clear up some unresolved technical issues in my mind... =P Ok, I have a contact management database that would seem really straightforward to me except for the fact that I am dealing with 2 primary entities. In this I mean I have an Individual table and Organization table. These two tables have primarily the same field data, such as both having address data, phone (contact info) data. There are some unique fields to one entity that aren't contained in the other entity though, and visa versa. One important issue is that 0, 1, or more individuals can be related to an Organization. Therefore I now have linking tables for IndividualOrganization, as well as linking tables for Phone and Address data. My primary complication is that since both Individuals and Organizations have address and phone data, the respective linking tables for them contain: an addressID/phoneID key, for the appropriate linking table, with an OrganizationID key and an IndividualID key in each table. So, the way I am thinking is that if the record pertains to an Individual, the appropriate ID will be in IndividualID and the OrganizationID will just be 0, or empty. This brings up issues with primary keys being blank. I am wondering if there is a better way to do this that I am overlooking or if I am in fact on the right track? I have contemplated combining the Organization and Individual tables into one but that really doesn't seem like the best solution. If anybody has any ideas then I would GREATLY appreciate it. I had a working database the other day but now I am separating the phone and address info out of the primary tables and have really got a mess on my hands. =P If anybody would like to look at my database structure I'd be more than happy to post the back_end and the front_end for you to give me your honest opinion about any trouble areas. Thanks BIG TIME in advance to any nice souls willing to help out a struggling programmer who doesn't have any close support on this one as I am working alone, Dana S.

Tough Issue Securing Database
Hello, for our company we have an access application we use to keep track of our customer-info. The databse consists of 3 parts: The (replicated) frontend The databse holding the changing data The database holding the unchanged data (lookup db) We have the following problem: somewhere in our front-end db is a bug that allows users to change the contents of the lookup db. In our case this can result in a major problem because the users are able to change the city-zip code table. I have tried to figure out where things go wrong but so far no result. We have picked up the idea of making the lookup db read-only for normal users. This will prevent them from modifying the contents, and will also result in error messages. Hopefully will these error messages point me in the right direction of the bug. Problem is that the ldb, created when opening the mdb, inheritates the same security settings of the mdb. If we set the mdb to read only, the user gets an error-message stating it can not find the lookup db or that the lookup mdb is locked. This is because the user can not create or modify the ldb. On the other hand, if we set the security to create and modify for the mdb, the user still is able to change the data in our lookup db. I have never worked with the security in access itself. and I want to try to avoid that. Is there a way of securing the data in our lookup db. So I'm able to figure out what really goes wrong. Can someone help me out on this major problem.

Database Real Issue Problem Here
History: MS Access 2003 Database up and running over 5 years Compact and repair daily 250 end users Security screen with log on to database Problem: User signs on and everything runs smooth, then all of sudden can’t access some reports or forms. I call our IT people, usual fix is resetting the profiles. Now sometimes this works and sometimes it does not work. This problem just started a few weeks ago. I try to isolate the problem. I sign on his computer and have no problem. I have the user that is having the problem to sign on another computer same thing, he has problems. So to me it’s the user profiles right?. The IT people think it’s the database. I have tried about everything I can think of, but still have the problem. Also all the other users are up and running fine. Now the only thing that I can say is, that we are getting up dates from Microsoft on a daily bases now. Our IT people would run them at night instead of during day. Do you think that could do anything to the database? I have spoken to them and they mention its security updates. Can you give me any other direction that I can go? We are going to have a big pow wow meeting next week, I’ am trying to have something that I can go on.

Database Design Issue - Help Needed!
Hi, i need to design a database but am abit unsure the best way to go about it and am looking for sum thoughts and suggestions. I need to create a database for part numbers and competitior cross references, however the problem i have is were we list one number a competitior could list upto 5, and where we list 5 numbers a competitior could list one, so there could be literally thousands of duplications per competitior both ways around. for instance we list DG897, our main competitor would list AB458, AB459, AB 487 etc. Basically the part number is a car part, and we say one part number fits serveral vechicles, but out competitior says its one part per vechicle. (sorry for the poor explaination) has nebody came up against a database where the possibilty for duplications is so high before and how did they go bout designing the tables, I am far far from a regular user of access, however am very keen to learn. hope you all can help

Issue With Developing A Power Database
I've been tasked with creating an Access db for tracking power usage at the datacenter that I work. After a few Access classes I have determined I don't know anything. Attached is a small sample of my design. My next step is to create a form that allows me to input the monthly amperage for every circuit that is powered on. What I envision is this: One form that allows me to type in the MonthYear (tblAmpReadingDetails.AmpMonth) of the reading at the top of the form along with the actual date/time. The meat of the form would display a prefilled list of power circuits that are turned on (qryActive PwrCircuits) with a field next to each circuit that allows me to input the amperage for that circuit for that month. I've been racking my brain for a week or so and haven't come up with anything. Anyone have any ideas? Thank!

Database Security - ODBC Connection Issue
I'm not sure where to post this so I apologise in advance. I am a little new to Access. I have an Access 2000 database that I wanted to be able to set up an ODBC connection into so I can access data to create labels into another labeling software. I have managed to create the ODBC connection successfully but when I look at the tables it returns no field names but shows the objects. I then tried to create a user group with read only permissions and I now get the message; " You do not have the necessary permissions to use the T:"database path name".mdb.object. Have your system adminitrator or the person who created the object establish the appropriate permissions for you. I tried then to give them full permissions and I still got the same message. Can someone please point me in the right direction. I expect it is something very easy that I am missing.

Multi User Access Database Performance Issue.
We are encountering severe performance problems when running our access database on our Network. Symptom: Huge drop off in performance when 2nd and subsequent users refresh links to chosen back end database. If the database is opened by another users front end database. Takes up to 10 minutes to refresh the links to 120 tables in Back-end MDB database. The system is designed as a split front and backend Access database. The back-end Data MDB database is located on a Windows 2000 server. The first time a user logs on they are required to locate and Re- Link the tables from the back-end database which holds data for the current year. If they wish to work on another year they re-link the tables from the relevant back end database. When running locally the Front end takes between 5 and 10 seconds to refresh ALL the links to around 130 tables. When the back end is on a network drive the process takes about twice as long. But is still quick. If another user has the file open via their own (locally held) front end, then the refresh link process takes between 5 and 10 seconds PER TABLE !! This means that that it takes up to 10 minutes to complete the re-link. Same behaviour if using Linked table Manager or refresh links using code As soon as second user logs out of database the refresh link process speeds up. The behaviour has been observed on a variety of servers and customer networks. General data access is also much slower after 2nd user - but just about bearable. Data files are small – few records – occupy 7mb on disk. Development Platforms – Windows XP / 200 clients, Windows 2000 Server hosts the back end database. Front end is Access XP (MDB or MDE File) with al the latest service packs and security updates installed. We have experienced this problem with a number of different systems running in various environments. But this wasn’t a problem with the old Access 1 database HELP! Access should be able to support 10 – 20 users - we can barely run 2!

I ;ooked and looked on the forums here, but couldn't find a thing. If anyone will just point me in a hopefully good direction, I would be grateful. Thank you!
