We want to send letters to clients on behalf of our salespeople on a weekly basis from a list of clients in a table. But some salespeople will have 5 letters go out and some will have 20 go out (depending on what amount the salesperson is able to followup on). I can store the weekly letter quantity number in the table no problem, but I am just not sure how to have the query show 5 letters for Bob and 20 letters for Sue.
I know about the "Top N" setting in query design, but not sure how to set it to read from the table.

I need to print labels for each piece that shows to which parcel it belongs. If I could populate a table where the number of records equal the value of the pieces column then it's a pretty simple report but I can't figure this out.
I'm having some difficulty obtaining the answers I want from my query. I'd have been more comfortable using filters in excel to find the answers, but my dataset is too large in this instance.
I devised a query which I thought should achieve the results, but based on a subset analysed in Excel the answers are significantly different.

What I'm hoping for is the subset which match the following conditions: - ESP field is not "Y". Possible values Y, N, null - FRU field is not "N". Possible values Y, N, null - Only those records from EntitlementName which include the substring 'uptime' - Only those records from Account which start with the subtring nation - Only those records from Type which include the substring primar - Only those records from [Is a parent?] which equal #N/A.
Asking the same questions in Excel I get around 1.5k records. If I use the quoted query on the same dataset in Access I get precisely 11.

I have a table with an empty column called ActionID. I need to generate a numerical number that begins with 5000 and goes up by 1 number on each saved record. I have a basic form that links all of my other field to the table except the one I need to generate (ActionID) but will need that number saved to the table once its created.
I am looking for a way to use vb, or any other way, to allow my users to enter a railcar initial and then a number sequence and add new records to the end of the table.
For example in a form the user can enter the car initial and the number sequence Railcar initial: GATX Number sequence : 290001 - 290100
I would like a way to create a temp table that then has 100 records GATX 290001 GATX 290002 GATX 290003 etc etc.
I can then use this temp table in an append query to add them to my main table.
I have a report that I am trying to complete based on several queries. I am trying to count the number of records based on certain criteria and using the following DCount.

I'm trying to create a database for a construction company, as an experiment more than anything, and my problem is this:
I need to create a set of identical records in the table "buildings" based on the information entered into a text box by a user on the form for registering a new project. I want each record to be identical except for the "plot number" field, which I want to start at one and increase to the number of buildings defined in the text box.
"Projects" is one table and "Plots" is in the other.

Table 1 is the main table that will be viewable in this database. The idea here is that new Account Numbers can be added to Table 1 throughout the year. It then pulls the cost/budget data into Table 1 based on the matching Account Number between table 1 and 2.
So, if the Account Number (Table 1) = Account Number (Table 2) then it pulls the cost/budget data into the cells on that row. I am trying to make this automated since this data is updated weekly and imported into Table 2 from excel.
I have created a booking system for a set of resources for schools. Most schools have a membership which entitles them to 2 free sets. I have a booking form with a membership subform (membership table), and a booking details subform (kitloan table).
Once a school is selected on the main form, the membership subform shows the most recent record for that school based on schoolID.I want to display the number of sets they have already had within their membership period (can start at any time of the year, and lasts for 1 year) on the membership subform, so we know how many free ones they have left.
I therefore need to count the number of KitBkID (ID of the booking) in the Kitloan table where SchoolID = the SchoolID displayed on the membership subform, and the DateOut (booking date on kitloan table) is between the DateJoined and DateRenewal displayed on the membership subform (from membership table).
I can do this with a query which works when run and provided with the parameters SchoolID, DateJoined, and DateRenewal.

What I can't do is get it to run on the form and take those values from the form.From the searching I've done, I'm thinking a DCount should be the way to go, but I cannot get the criteria right. I created a query (KitloanCountQry) so that criteria could come from both the kitloan and membership tables.

Here is my issue. In a table with an Auto Number index some records have been deleted. I have been able to recreate them along with their original auto number. The problem is that I do not know how to append these records forcing the original auto number. I have tried changing the auto number field to a number field in the table, this works except I cannot change it back to auto number.
I am sure I’m not the first with this question or issue. I did search through a couple hundred entries about auto number before I posted this question.
I'm making a database that so I can log calibration information about equipment every year.I have 2 tables:
The Equipment details table The Calibration record table
ID Number is shared between the 2 tables so a calibration record can be linked to its' details.

What I want is a button on a form that creates a new blank record in my Calibration record table with the ID number already entered based on what record I selected in a combo box linked to my equipment table. I really don't know where to start.
I am trying to create a table for income and expense [catergory] and would like the amount being entered into the [amount] field to have a negative or positive value on entering based on the category chosen.
so in my table I have
[catergory] which is chosen from a look up table ( which is either an INCOME or EXPENSE ) [amount] which is entered in the next field ( which has to return a positive or negative value based on the catergory choosen upon entering the data)
I would like to go one step further and indicate this negative value in red is possible in my FORM.
I have a small database with 4 tables that I am using for the current problem. The tables are call, parents, mailman, orders. Call and parents are related by the call ID (a primary key in the Call table.). Mailman and orders are related by a Unique Id (a primary key in the mailman table.).
Forms involved are frmmain and frmsub.
Frmmain contains the call table information in the main form and parents information in the subform.
When a user enters a call with call ID and enters the operator name and parents information in the sub form, When a user clicks the OK button on the main form, necessary changes should take place if they enter the case type in the sub form part of parent information as ‘missing information’ or ‘missing link’ then the parent information with fields first name, lastname, case type, operator information should be inserted into mailman table in appropriate fields.
Simultaneously a record should be inserted into orders( after the record is first inserted into mailman, since both tables are linked with unique id) with the following information. Orderid being autonumber. Uniqueid from the mailman table. Orderdate system date. Ordertype should be “Mailman”
I have table when I open it I found total number of records 1000 while I get result through query I found that 2 records or more than present in the Table mean in query number of record is 1002. I donot understand why these tow records are not seen in the actual table. and these are not deleted by delete record qurey. While I can see it in select command.
I'm developing a database for the hospital I work in. One purpose of this is to keep track of patients with temporary invasive devices (there are many types such as urinary catheters, ventilators, etc.), specifically how many days each patient has a device for. Each device is associated with one patient only, but one patient may have many devices. Here's how the associated tables are set up:
1. tblPatients - PatientID (PK), LastName, FirstName, DOB,... 2. tblLocations - LocationID (PK), LocationLabel,.... 3. tblDevices - DeviceID (PK), DeviceType, Device, DeviceDesc 4. tblDeviceUse - DeviceUseID (PK), DeviceID (FK), PatientID (FK), LocationID (FK) (where in the hospital was device inserted, e.g., operating room, bedside, etc.), DeviceStartDate, DeviceEndDate 5. tblDeviceDailyLog - DeviceLogID (PK), DeviceUseID (FK), DeviceDate, PatientLocID (FK) (area in the hospital that patient is in)
All primary keys except for PatientID & LocationID are Autonumbers; and the tables are linked appropriately.
Whenever an entry is made into tblDeviceUse, I want there to be new records to be automatically generated in tblDeviceDailyLog for each date between the Start and End Dates. For example, patient A123 had a urinary catheter from 1/1/2000 to 1/10/2000 that was inserted while the patient was in the ICU, but the patient was moved to the Medical Ward on 1/7/2000. So tblDeviceDailyLog should have 10 new records associated with this device, one for each calendar day, with the appropriate location for each day.
I am pretty new to MS access and have a question that I have not been able to figure out. I am making a database with a form to input the data in to the database. The only thing is I want to be able to search/lookup/record data by the products ID code and not by its record number. For example, product 1234 instead of entry number 1. How would I go about this? Basically I've got a make table query which creates a table ox X records depending on how many records in the original table match the criteria. So for example:
Table A has 100 records
Query identifies 30 that mee the criteria
Makes a new table called criteria_met with these 30 records
What I want is for a textbox on a form to display "30" and update whenever the make table query runs (probably via a macro??)
I'm after some code as to how to count a number of records within a table, I then want to have this number returned into a variable so I can determine usages with it, e.g. If the value is < 1 and using conditional statements.
Newbie question: I have a database where we track dispatched with two tables, one called Slots, the other called Dispatches. In the slots table there are 2 fields, one called Week (which hold the Monday date for each week in the year), the other called Available (in this field we want to manually enter a number that will tell the system how many dispatches we can do that week). We want to automatically take the number from the Slots.Available and enter X number of blank records in the Dispatch table with the monday date. How can this be done? Then we will create a form that can be filled in with the balance of the information. Thanks
Well boys and girls, its about that time in the week where I have once again come up with a brilliant application for my little Access project, but have no idea how to make it happen.
I will start with a little background info... In the course of the parts recoveries we have different reasons for recovering parts, different people (locations) that request them, and different priorities for recoveries. For example, when a new model comes out, we will recover 100% of the parts for investigation by the factory... however, we may want to take a look at failed water pumps first. In this case, our recovery, until it is complete, will have higher priority than the 100%, otherwise we would not receive any parts.
This is because of the way our warranty system works... It assignes a three digit number to each part number of a recovery (between 1-999). The lower the number, the higher the priority.
So if I am setting up a 100% recovery, I would want to put it in the, say, 200's. This would leave room for an overlapping recovery to be inserted in the 100's where it would divert a certain number of parts away from the normal recovery stream. Then, once a user-defined date or quantity of parts has been reached, the corresponding number goes dead, and any of those part numbers are reunited with the original recovery stream.
Sticking to the example above, typically 100% recoveries would go for say... 2-3 years, where as an in-house recovery might be for 20 parts... Another difference is that the longer term recoveries are managed by the end date, where shorter term recoveries are by number of parts recieved.
What I want to do is be able to auto assign these numbers based on criteria derived from user-inputted data... (i.e. destination, start/end date, recovery type, etc.). Then, when the recovery is complete, whether based on date or quantity recieved, to delete the information associated with the 3 digit number, block its use for 45 days, and then be able to reuse the number for a new recovery.
Whew.
