I have a fairly simple database we are using for keeping inventory and new items get added through a form. Is there A way I can prevent a part number and its properties from being entered if that same part number has already been entered at an earlier point in time?

Hi again, thanks to all for the help given so far.

Is there anyway (other than making that field a primary key) to prevent the same value being entered into a different record?

E.g.

If under 'Name' Radion has already been written, I want an error message coming up saying there is already a record with radion.

Hi all,
I am currently using this code in the before Update event of the Surname Textbox on a form. The first Textbox is FirstName.
The second one is Surname.

However once the user has entered the surname and tries to save the record the MsgBox is coming up.
Basically what is happening is the first name is coming up as the duplicate entry only.
I need to prevent the whole name (first name and surname together) from being duplicated.

I have two different fields in a table. Month/Year and Location.When a user is entering data in a form, I want a message to be displayed if the location AND month/year are the same to tell the user that they are entering a duplicate record. I can't put unique keys on either of these fields because there is going to have to be duplicates in each field.

Hi all,

I created a form for entering employee skillset in Accounting.

I have set up three fields - one for Primary Skillset and the other two for secondary skill sets -

The skillsets are -Payables, Receivables, General Ledger, Purchasing etc.

How can I ensure that a user will not enter duplicate values in the three fields.

That is a user will not enter for examply "Payables" in the Primary Skillset, and Secondary Skillset fields.

I tried creating a multiple field index but it does ont appear to work.

I will appreciate all the help.

I am attempting to make a system where the lifespan of baskets in a production process can be tracked. In order to do this I am looking to create a form to input when a new basket is introduced.Each basket has a 'disc' associated with a number on (BasketNumber), however these discs are reused once the basket breaks which is making it more difficult.

I have a form (Add_New_Basket) which feeds into a table (Active_Basket); what I am trying to do is make sure that a new basket cannot be introduced with the same disc number as an active basket. The way I am trying to determine which baskets are active is that I have an end date, that is filled in once the basket has been scrapped.

Therefore I am trying to set my Add_New_Basket form to restrict me entering a new record with BasketNumber 999, if there is already a BasketNumber 999 in the table with 'EndDate' null. If there is BasketNumber 999 and EndDate is dd/mm/yyyy then it can create the entry.My form Add_New_Basket has fields ID (which is hidden), BasketNumber, StartDate (=Date()).My table has fields: ID, BasketNumber, StartDate, EndDate

Hello All,

I'm trying to limit the data entered into a specifc field, but also the data must be unique with respect to other fields.

i.e.
Two fields: System A & System B.
Data entered into System A, can not be entered into System B.

Anyway to prevent this from recurring?
Would I use a validation rule?

I have a table called tblCompanies in which I have a field called CompanyName that is indexed set to "no duplicates". However, I want access to be able to pick out probable duplicates instead of only exact duplicates.

So, for example, if "Butter Fingers" is entered and "Butterfingers" is already in the database, I want access to prevent the new record from being created.

The code I found on MS Developer's reference only prevents exact duplicates which seems pointless since this can be done just as effectively on the table level using an index.

Anyway, here is the code:

I am working on a database to track IT assets with third parties. I have a table called "Equipment" that includes info like model, serial numbers, purchase price, date, location, and "Asset ID". I have a second, single field table called "asset tag" that is just a list of asset ID tags, XYZ1000, XYZ1001, XYZ1002..

I created a one to one relationship between the two tables on the following fields: "equipment.assetID" and "asset tag.asset ID"

Once an "asset ID" is used, I would like it to either be grayed out or disappear from the list of available ID tags. Basically, I want it so that each "asset tag. Asset ID" can only be used once.

I have a table with a multi-field unique index:
PatientID
TestId
TestDate
Examiner

The problem is, date and/or examiner can be blank until that information is updated. I want those null values to be understood as actual values so that multiple instances of that "waiting to be updated" record do not occur. Is it possible for Access to understand my indexes in the following way?

PatientID----TestID----TestDate----Examiner----(Index)
1------------1---------07/18/05----AD----------1107/18/05AD
1------------1---------[blank]------[blank]------11

and therefore not allow another record like the second one to be added? The ignore nulls property of my index doesn't seem to affect this issue?

I have a form which allows the user to book rooms.

On this form, there are the following fields:

BookingID: (Autonumber)
RoomID: Text box
Time:Text Box
Date: Text Box
Class: Text Box
Teacher: Text Box

The form adds this information to the Booking table.

What I'm looking to do is prevent the user from double booking a room,like being able to check if the Room is already booked at that time and date, before the new information is added to the table and the room becomes double booked.

Basically this would be checking the RoomID, Time and Date fields, as everything else is irrelevant. What would be the best way to do this?

Running Average Quote Based On Part Number

I've been searching all the forums and unable to find my answer. What I want to do is show on a form the average quote for the specific model number.

On the form there is customer info, product info, etc. I want to see the average of what we have quoted every other time we have seen this product (we do repairs). The identifer for the product is the model number, Model#, the quoted cost is PRICE. I've used this function before, DAvg("[Price]","Repairs","[Model#]='013003020'") - which of course gives me the average for one specific model number (013003020). How would I use a similar function but have it do the average for the model number that I am viewing on the form?

If I am able to do that - I also need to find a way to not include nulls and zeros from the Price field.

Queries :: Get Average Repair Price Of Multiple Part Numbers With Same Root Number

I need to get an average repair price of multiple part numbers with the same root number i.e.

8 each 8TJ124GGN1
4 each 8TJ124GGM1
7 each 8TJ124GGP1

First I used a query to average the repair price of each subset of numbers, and then queried the query to average all the subset prices together.

If I simply use the AVG function in the first query, I can use it again in the second query to get the average price of all the subset price averages. HOWEVER, if I use the expression:

AdjustedAvgLabor: Int((Sum([LaborPrice])-Max([LaborPrice])- Min([LaborPrice]))/(Count([LaborPrice])-2))

…to get a more accurate average by throwing out the high and low values, I get a:

“…expression too complicated to be evaluated”

when I try to average the averages in the second query using the AVG function.

I don’t know why the expression is “too complicated” since the first query has already completed its computations before the second query begins its AVG function.

Tricky Question - Form Part Data Entry, Part Not

I have what I think is a difficult problem to overcome...

I am designing a form to create an invoice. The user will select a workstream and a date range in form frmInvByHrs. Within this I want two sub-forms, one is frmInvByHrsTsht and the other is frmInvByHrsBill. I want the first one to display all the staff and their hours done, and the second one to be in data entry mode where you can enter the hours you want to bill. Each sub-form is based on a separate query.

Is it possible to do this? ie. to have one sub-form in data entry mode, and the other not? It seems to me that the data entry mode is controlled by the MAIN form regardless of the sub-form settings!

If this is not possible, do you know how I can acheive this?

Date Problem - Part Constant - Part Now()

Hi everyone,

I have refined my query from previous threads to involved a module function. This calculates more acurately no of working days between dates and takes into account a holidays table. (All credit to Arvin Meyer on the module:) )
However because the Leave Year starts at the 1 July and finishes 30 Jun I need to compose the date for any current year Year(Now())

Enclosed scrdmp shows my query design. I can easily get it to work as you see it, but obviously as each year rolls over, the year needs to change.

Have looked at many posts but can't find what I'm looking for. This one will get me over the hurdle.

Duplicate Specified Number Of Records

Hi,

Does anyone know if this is possible. I've looked but can't find anything like it posted within the forums unless I'm searching for the wrong keywords.

If I have a list of records on a continuous form, I want to drop a combo box at the end of the each record with a list of numbers in ranging from 1 - 100.
When a value is chosen, the selected record is then duplicated by that number.

For example, Select a record, choose 20 from the combo box = 20 new entries of the record.

Also, as a side issue, is there a way of omitting or clearing certain fields from the process.
For example, Serail Numbers are unique, so I want the user to have to manually key these in once the duplication process completes.

Hope I have explained this in enough detail.

Queries :: Rolling 12 Month Query - Keeping Track Of Orders Placed For Given Part Number By Month

I am trying to create a database that will keep track of the orders placed for a given part number by month. Currently, my table houses the part number, and the ordered amount for the past three years by month (there are thirty-five columns for every part). My column headings are ORDER_MAY_2013, etc. I would like to set a query up that will look at the column headings and pull the amounts ordered for each part for the past twelve months. In other words, I have three years of data in my table. In my query, I just want one year. However, I don't want to have to rewrite the query every month so that it will pick up the new data. Is there a way to accomplish this?

Is there a better way to build this database? I thought about just have four columns in my table - PART_NUMBER, ORDER_MONTH, ORDER_YEAR, ORDER_AMOUNT. The only problem there, is that every part (there are about 450 parts) would have to be listed 35+ times. That seemed too redundant to me, so I built the table this way. However, now I am having trouble querying against it.

I ran into a weird task, sometimes at my job we have to use 3 identicle records where just one thing changes and that is the date. The thing that is giving me a problem is I get an error if I try to duplicate the record due to primary key being duplicated. I have a ID field which gives all records a number and when I try to duplicate the record I am in, I get an error because of the duplication of the ID Field. Is there a way to get around this?

Queries :: Number Of Duplicate Entries?

I'm trying to use access to identify how many times an indiviual appears in my database. I've got a large file which gives me all referrals, each referral comes with two identifiers, one unique to the person, another unique to the referral. This means that the person unique number may be repeated multiple times (if a person has more than one referral) but the referral number would be different each time.

I've run a query to identify the duplicates, i.e. the records where the person unique identifier is repeated. What I am trying to do is work out now how many people have been referred twice, how many three times etc. The original query looks something like this (but on a much bigger scale).

Person Referral
1 A
1 B
1 C
2 D
2 E
3 F
3 G
3 H

What I'm after is a query that will tell me that two people were referred three times (1 and 3) and that one was referred twice (2) and so on.

I'm on Access 2010 if it makes any difference.

Key Auto-number Is Too Low - Getting Duplicate Error

I have a table with about 3600 keys, numbered from 1 to 3600. When I try to enter a new record, the autonumber starts in the 20's. I get an error message about duplicate keys, and I have to cancel. If I try again the autonumber goes up by one, but it will take hours to do this with approximately 3600 tries to get past the highest exisiting key number. Is there a way to make Access reset this? THis table is linked to a many-to-many table and I can't start over or I will lose all my relationships.

I have a code that works great from the parent form but I decided to change the format and call it from a lostfocus event in the subform instead. Now I keep getting error 3314:"You must enter a value in the tbGuests.LastName field".

The code should copy the parent form fields and create x number of duplicate records according to a field on sub-form. It then runs an append query to add the information from the subform.
