Tables :: Updating Blank Fields For Existing Records

I am in the process of building Append Queries for new records, and I know I can do an Update Query to enter specific information. However, how can I update multiple records from a (externally sourced) linked table to fill in blanks of an existing table? I have created a query to identify records with 1 or more matching criteria which contain the blank fields. I now want to update those blank fields. The data in each blank field is different for each record (same type, just different data).

Updating Odd Fields In Existing Records From Excel

I currently have a database that is missing various pieces of information, we are getting a temp in to complete this. I don't want the temp adding data directly into Access so I have exported the table that needs updating into Excel.

How can I then import the new data without altering current data.

I know this is no problem for new records, but if I have a current record with a few fields of information missing how can I just import information into the blank fields. This can't be a manual process as there are hundreds of records.

Any comments would be much appreciated!

I have a table with more than 60 fields and need to update it with records from another Access file with a table with an identical data structure.

Is it better to run an update query or an append query (i would have to delete the original records in the target table first) or a union query?

If I run an update query I will have to manually add each field to the query.

The update query will not add 'new' records. If I run an append it is quicker because I can use the * to match all fields, but i will have to delete the 'old' records first, as both tables use autonumber for the PK so the PK ID will be the same in each table (will get a key violation error).

If I import the 'new' table and run a union query it will match the fields and add the new records, but then i will have to create new table from that query.

Copy Existing Fields To New Records

I have a database and I wish to be able to copy 10 out of about 20 fields into a new record automatically using a command button on a form. Similar to the way the Duplicate button or the Create New button would work but only with these selected fields. None of the fields I wish to duplicate are the primary key. The primary key is an AutoNumber field. After clicking the Save button, the primary key would increment one to confirm the save record.

Any help or suggestion would be appreciated!

HELP!! Trying To Nomalize Existing Data By Updating Data Into New Fields

Hello Tech gurus,

I have a database with existing data, that is not normalized, :eek: and all the data is in one field... This what I am dealing with:

As you notice the first row of data in field1 C10A CHOLEST&TRIGLY has 3 spaces to the right the next row ALTORVASTIN has five spaces to the right, the next line LIPITOR has 7 spaces to the right, and so forth, hopefully you get at what I am trying to do, I just looked at the data and it is not showing up in view of the leading spaces, but I am trying to move the data based ONLY on the position of leading spaces, example all data that has 3 leading spaces would go into its own separate column, and all data that has 7 leading spaces would go into a separate column, I have tried to use the left, mid, len functions but I cannot figure out how to move the text and keep it whole only by data position of spaces.

Tables :: Adding Records To Existing Table

What I have is a database that I have done some tweaking on and in the meantime the original db has been in use which has added around 200 or so more records in the table.

What I would like to do is to just update the db that I have been working on with the older db table(the one who has the additional 200 records).

EX. DB A(Old DB, Newer Table) DB B(New DB, Older Table)

I want to put DB A table into DB B

Is this a simple fix? Or do I need to write some sort of query to update the records in the old table? I've tried to export the excel file and then import but it puts it in unrelated objects and then my switchboard or nothing works.

Tables With Blank Fields

I am a firefighter who has been tasked with creating a database to track repairs and inventory on breathing apparatus(SCBA). There are several(5) related pieces of equipment that I think should go on the same table. Three of these will have nearly identical fields. The other two will have additional field specific to them. Should I create one table including all five pieces and just leave the extras fields blank or is there a better way.

Records With Null/blank Fields Only!??

I'm working on a db logging replies to a questionnaire. Judging by the responses I am receiving it appears that some sections are not completed at all. I need to be able to include these blank responses when it comes to analysis.
My design splits the questionnaire into sections, each section has a data entry form with its own underlying table. Each table has a primary key (autonumber field) which relates to each organisation that has replied.
If an organisation has failed to complete a section, I still need to create a new record in that section(table), triggering the autonumber field, hence referring back to the organisation.
I know I haven't explained this very well, but if anyone can make sense of what I'm saying and can give me any suggestions on how to make this happen, I would be most grateful.

I am working on a database which has two tables used as part of a registration and login process.

I would like a couple of fields from table one to automatically update in table two, once the fields in table one are populated without using an 'on click' event.

The reason I would prefer not to use an onclick is because the completion of the form used to generate the users table does not require any buttons for the data to save.

Tables :: Export Data To CSV Without Blank Fields

I have to import a table into a government database. I've got the data lined up in a table and exported to csv. The problem is that the government database doesn't allow empty fields, or the commas created by empty fields. The empty fields are create by criteria that changes with each employee. Is there a way to get rid of them without manually deleting them? I would imagine there is but can't find anything about it or maybe I don't see the forest for the trees? Sample csv below with surplus commas.

Queries :: Records Not Showing With Blank Numeric Fields

I have a query which selects a material ID and material name from one table and the associated manufacturer, supplier, and packaging type from three other tables. Some of the manufacturer, supplier, and packaging data were imported from an Excel spreadsheet and did not have data for those fields, so those fields are blank. When I run the query, I only get the records which have all fields filled out. How can I get the records where the material ID and material name are filled in, but the manufacturer, supplier, or packaging type are blank? Here is the query I'm using currently:

I have two tables identical with all text fields within the same database. One table I export as a csv, delimited with commas separating my fields and quotation text qualifiers. Where the fields are blank there are text qualifiers as well ("" - begining and ending quotations). This is what I need. The second table is exporting as a csv, delimited, commas separating the fields with text qualifier as ""- begining and ending quotations, EXCEPT the blank fields are not putting the text qualifier, and I need it.

First Table: *What I need*
"142358", "PK", "15132678", "", "123.45"

Second Table: *What I need to fix and do NOT want*

Access 2010 database.

I am trying to get an average from several numbered fields, which some may occasionally be blank.

=Nz([JanUS],0)+Nz([FebUs],0)+Nz([MarUS],0)

I get an error message that says "The expression =Nz([JanUS],0)+Nz([FebUs],0)+Nz([MarUS],0) cannot be used in a calculated column. This is a hypothetical expression being used.

The real expression is ...

([GC A1 - 2]+[GC B1 - 2]+[GC C1 - 2]+[GC D1 - 2]+[GC E1 - 2]+[GC A2 - 2]+[GC B2 - 2]+[GC C2 - 2]+[GC D2 - 2]+[GC E2 - 2])/10

This expression works great until a field is left blank, and then the average box is left blank.

The fields I am trying to add are Long Integer. Would that affect it?

I am creating a table in access 2010 for my consumable and bench stock report. I made a 12 fields which I name it the month of the year and another 1 field to add the total disburse materials in one whole year. I did this formula to add the 12 fields

[Jan]+[Feb]+[Mar]+[Apr]+[May]+[Jun]+[Jul]+[Aug]+[Sept]+[Oct]+[Nov]+[Dec].

But the problem is its just adding the complete consecutive months that I disburse and the row with blank section the total disburse doesn't show on the total disburse for the whole year. I try to use the code =Nz([Total Disburse],0) but it shows on the screen i cannot be used in calculated column.

Forms :: Subforms Randomly Adding Blank Records Not Clearing Fields

My subforms are randomly adding blank records and one subform I would like to stay blank repopulates with data, though not necessarily the most recently added record. Both of these seem to happen when I navigate to other main records in the database and then return to this page.Using Access 2013, I have a large form with 10 pages. On one of the pages, I have two subforms. This is set up to gather many-to-one data. The top subform is my data entry form with three fields (two combo and a text) and a command button. The bottom subform is a datasheet displaying the three fields.

The two combo boxes are cascading, and they work great. The text box is there to collect additional info for each selection.
The command button works to

1) save the record,
2) requery both subforms in order to display the new data on the datasheet,
3) clear the combo and text boxes, and 4) set focus back to the initial combo box. It all works!

But then when I leave that main record, the horror begins: blank records (from the "many" table) show up on the datasheet and the data entry fields do not stay blank. I suspect my problem is in the command button. I added this code to the OnClick for the command button:

Automatically Updating Yes/No Fields By Referencing Other Tables.

I am working on a database at my workplace. We have a list of available IP adresses that can be used for printers, not all of which are in use currently.

I have a table for the printers at each branch, and that printer's IP address.

I have an IP addresses table that contains all available IPs, a domain name field, and a yes/no field entitled "In Use?"

I want my IP address table to check my printer table, and put 'yes' in the "In Use?" field if the IP address exists in both tables, or a 'no' in the "In Use?" field if the IP address is not currently assigned to a printer.

Can this be done, and if so, how?

Tables :: Pivot Analysis - All Data Fields Are Blank Every Time On Opening Database

I work on a pre-created Access database, and the other day I was working on it, and was trying to export something to Excel to sort it and do some Pivot analysis.

Anyway, I must have pressed something, because now every time I open the database, rather than saying "record 1 of 20463" and showing the data from record 1, it shows "record 1 of 1" and all the data fields are blank. If I go to "Records" and "Show All Records" they'll all come up, but I don't want to have to do that every time, and as I import and export all the time, I'm worried that the next time I try it it'll mess up the years of data I have.

I have this table "tblPreventativeMaintenance" which calculates when the next appointment for service. Stored in the field "NextDueService". I have three fields in this table. "SerialNumber", "NextDueService" & "Engineer'sReport".The whole purpose of the table above is to do the calculations.Now the results of the calculations I need them to go into another table "tblInstallations" so I can use it to show Next Due Service when there is a call out in regards to certain ready installed equipment. Tables :: Adding 1000 Semi Blank Records With Sequential Numbering

I've received a database that is a digitized population register from the 19th century. All adults have been entered into the database, but all children are missing.

Every person has a unique number that corresponds with the original source (this variable is called 'no', this is not the autonumber primary key thing). Instead of searching in the original source which numbers are still missing, I would like to add the missing numbers (with no additional information, because I still need to type that in).

For example, the table now looks like this:

no - name_last - name_first - occupation etc

1 Smith Henry baker
2 Smith Mary
5 Williams John butcher
6 and so on

So 3 and 4 are missing.

How can I add these missing numbers automatically?

Tables :: Updating One Column Of Data Across Many Records

I have a database containing 10,000+ trouble tickets identified by a unique field called "Ticket ID". This is the primary key for my table. (It's on just one table.) These tickets came from an excel sheet that was exported out of a different database. (For various reasons, we've moved the tickets to access.)

Among many descriptor fields, I have a field called "SPR Type" that shows what type of ticket each entry is. (Bug, Defect, Enhancement, etc, etc) The problem we have here is... not all of the ticket entries have an SPR Type listed on my access table because not all of the tickets coming out of the original excel sheet had one.

I was given a new excel sheet containing 400 to 500 ish Ticket IDs and the SPR Type that applies to each of those tickets. How can I take that sheet and use it to update my access table? Ie. Use the excel sheet containing Ticket ID and SPR Type to populate the blank SPR Type fields for each of their respective Ticket IDs?

**Update: I'm trying something like this...

UPDATE [SPR Priority] inner join [EB Update of SPR] on [SPR Priority.Ticket ID] = [EB Update of SPR.Ticket ID]
SET [SPR Priority.SPR Type] = [EB Update of SPR.SPR Type]

But I am getting an error that says "Invalid Bracketing of name [SPR Priority.Ticket ID] and similar errors. What am I getting wrong here?

I thought about an Update query that would populate the SPR Type fields based on Ticket IDs. I could import the new excel sheet into a separate access table and update from there.

Updating And Existing Database

I have a database which i am constantly updating and improving. I have a few friends who use the database in a current form. If i made an update say to a form or to some of the coding to make the DB more efficent, how can i update the dBs my friends are using without damaging or changing the existing data, or migrating it to the new design.

I.e going from version 1 to version 1.1

Any advise would be great?

So I currently have a table that tracks medication activity for patients called tblMedRanges. The Fields are the ID, StartMedication, EndMedication, Med ID/Medication Name.

In the End of Medication, some patients are not currently active so they have a set date/time field property. What I have for right now is the default value is set to

=date()

So that when staff adds a new medication it is set to the current date. These patients are supposed to be active, but it doesn't update the default value. I want it to continue to update to the current date every time the database is open.

I have three options that I know of(or think I know of) to update but can't commit to one in particular :

1)I want these individual records in the field to update the current time for today and was considering using some kind of data macro code using before update.

2)The other idea I had was splitting up the field into an EndOfMedication field that would display a value only if their inactive, and an Active field (text, value list active/inactive choices) that would be used in a query to generate the current date as med field. This would take some crafty query work with comparisons later on to generate list of drugs that they were on for each visit.

3) set to text field and convert the field to date field for comparison in queries.
