Queries :: Calculate New Fields Based On Current And Prior Year-end Numbers

May 6, 2013

I am creating a Make Table Query and calculating new fields based on current and prior year-end numbers. If the prior year-end number does not exist (Is Null), I want the use the current rate or calculate the change in rate. I have typed the below in the Field Box:

CHG_IN_PGM_RATE: IIf(([P0_10 Tbl - AM PYE PTD Detail w Rates]![PTD_PYE_PGM_RATE]) Is Null,([MASTER LIST CURRENT]![PTD_PM_PGM_RATE]),(([MASTER LIST CURRENT]![PTD_PM_PGM_RATE])-([P0_10 Tbl - AM PYE PTD Detail w Rates]![PTD_PYE_PGM_RATE])))

However, when running the query, I get the attached error message.

The screenshot will also show how the two tables are joined.

IIF Statement - Calculate Value Based On Comparing Current Date To Dates In Fields

Jun 27, 2013

In my table I have the following 4 fields with the associated date field:

Bronze: 11/1/2013
Silver: 5/1/2014
Gold: 11/1/2014
Platinum: 5/1/2015

I am trying to calculate a value based on comparing the current date to the dates in these fields. I am using the below formula. However, using 6/27/2013 as the current date, my formula keeps resulting in "Bronze" when it should result in "Standard" Am I doing something wrong?

=IIf(Date()<[Bronze],"Standard",IIf((Date()>=[Bronze]) And (Date()<[Silver]),"Bronze",IIf(Date()>=[Silver] And Date()<[Gold],"Silver",IIf(Date()>=[Gold] And Date()<[Platinum],"Gold","Platinum"))))

Percentage Of Year Employed - Prior Year

Aug 1, 2005

I trying to figure out how to make this query work. I have a simple database that is being used to show employee employment information - name, hire date, salary, bonuses, etc. Everything is just about done but they want me to show what percentage of the prior year the employee was there. In other words if an employee was hired 4/20/2004 they want me to show the percentage of 2004 they were employed with the company. I've tried just about everything I can think of but nothing seems to give me the right answer. I am also showing the percentage for the current year (2005) and that works ok. Just can't figure out how the calculate it for a prior year.

This is being done in a query and we're using Access 2000.

Any help would be greatly appreciated.

Thanks,

Calcute Week Numbers Starting From 1 July Of Current Year

Feb 13, 2007

Hi everyone,

I want to calculate the week number of a date in a year starting from the 1 July (of the current year) - as this is the beginning of the Financial Year in Australia.

The starting day of the week is Wednesday.

I've been trying to think how I could use the Access DatePart Function in a query to calculate the week number from sales records.

I have had no trouble calculating the week number from the 1 Jan using the DatePart function. However, the function doesn't allow me to select a different date other than the first week of January.

So as a work around, I've thought of calculating the week number of 1 July in the current year, and just using the DateAdd function to add the week number to the week calculated by the DatePart Function.

Not quite working yet. Here's what I've come up with so far.

WeekNumberCount: DatePart("ww",[DateCalled],4)

I use the following to calculate the "my" starting week of the year:

StartingWeekInYear: DatePart("ww",DateAdd("ww",0,"1-July-" & Year(Date())),4)

Then I add the two together together:

MyWeekNumberCount: DatePart("ww",[DateCalled],4)+DatePart("ww",DateAdd("ww",0,"1-July-" & Year(Date())),4)

I know it needs some work to be useful for all years. Any suggestions?

Defaulting To Prior Year Data....Dlookup?

Dec 2, 2005

Hi
I am building a forecasting database that will have known amounts entered for various projects. If a project has no known future amount (lets say for next March), I want my query to calculate a projected number by taking the most recent equivilent month (for this last March, which may be a number or even zero) and applying a growth factor.

I thought to use Dlookup in this way, but it is not working:

Amt: IIf(IsNull([Amount]),DLookUp([amount],"data_table",DateAdd("yyyy",-1,[data_table]![date])=[data_table]![date])*[growth],[amount])

I have created "placeholders" for the non-existant months in a prior query (i.e. this formula should replace null cells w/ projected values only if there is no actual value)

I would appreciate any suggestions very much!
thanks

Counting Month Fields For The Current Year?

Nov 4, 2007

Hiya

This is my first post here, but I've two questions so I'll divide it into two threads.

Normally I can google these to help find the answers but a bit of a loss at this one, probably beginners stuff to some of you.

Heres a link to the database below

http://casp.gamecommunity.co.uk/database.gif

Total count is easy: =Count(tblMain!ID1)

What I want to do is count the amount of records for each individual month of the current year so I don't have to change the year date everytime a new year comes round. As soon as the next year comes around they all reset to 0.

The clever way would be to count the records for the current month -1 current month -2 etc and automatically update the month labels but I think that would be getting a bit comlicated.

Thanks in advance for any help. :)

Forms :: Change Datasource Of Form Field Based On Current Year

Nov 12, 2014

I have a little "y2k issue".

My DB has many (!) forms that are based on Crosstabs queries. The headers are years, and therefore my formfields has controlsources like 2014, 2015 and so on.

Example:

The table it comes from looks something like this:

tblProject
Project: Myproject
Value: 1000
EndYear: 2014

The crosstab then takes the EndYear as a coloumn header. Then my forms use these fields, now named 2014, 2015, 2016 .... and give me a nice looking table showing the accumulated "end" for multiple projects.

The problem is when the year changes after 31/12, all fields must manually be changed. This means I have to manually change 2014 to 2015, 2015 to 2016 and so on in all of my formsfields controllsource.

I have played around to find a way to change the source of the field, and hoped I could say something like =year(now()) and for the next year say =year(now())+1 but this only returns that year as a value, and not as a controlsource...

The query functions nicely (ive changed the system time, and it has no issues with this structure), but the forms source is still in the previous year, and returns and error (of course).

When the year changes past new years eve, so will the headers (fieldname) change... but how to make the form change fieldsource?

Auto-number PK And Prior Numbers

Mar 26, 2013

I have an Access DB with a VB 6.0 front-end. I have a table with a PK that uses an auto-number. I deleted from data from this table in the past, then re-added it back in again just now. However, now when I go to enter a record in this table from the VB executable, I am getting an error for duplicate keys--as the auto-number tries to use a number that already exists. This happens when I just enter a record directly in the table in the DB also.

Queries :: Calculate Fiscal Year And Month From A Date

Jul 13, 2015

I want to build a query that calculates the fiscal year and the month from a date on-the-fly. I tried to do it in VBA, but it's more complicated than in query I guess. So this is my table:

The date is on the left, in the middle I want to have calculated Jan 14 and on the right I want 14/15.

In VBA I started with this: strMonth = MonthName(Month(A), True) & " " & Format(A, "YY") which gave me "Jan 08". But the date was hard-coded and not from my table. Then I tried to store the information by SQL statement into a string. But this also didn't work, the types were different.

Code:
UPDATE tblSAPOD
SET sapOD_month = Year([sapOD_OrderDate])-IIf([sapOD_OrderDate]<
DateSerial(Year([sapOD_OrderDate]),6,16),1,0)
WHERE sapOD_OrderDate Like "*/*/94";

.. but I guess it's wrong, it gives me a syntax error.

Year And Date - Show Day Of Year As Three Numbers

Jan 10, 2012

I'm going to try using the year, day of year, hour & minute (24 hour clock) as a report number. It's set up in a field on a table. Right now I have....

Default Value =Format(Now(),"yyyhhnn") 'which works but not exactly how I would like

yy = Last two digits of the year
y = Number of the day of the year (1 to 366) 'can this show three digits all the time?
hh = Hour in two digits (00 to 23)
nn = Minute in two digits (00 to 59)

For instance, right now for Jan. 10th, 2012, 1306 hours the result would be 12101304 which, for all intents and purposes works, but I would prefer the "day of the year" to always be represented by three digits and not just when it hits day 100 of the year.

I would prefer to see 120101304

I have a form (Inventory Transactions Form) where i either add or remove Inventory Items.

I have used this statement to create a new field (Actual Quantity) to calculate current stock based on stock been added and removed:

Code:
Actual Quantity: IIf([Transaction Types].[Add/Remove]="Addition";[Inventory Transactions]![Quantity];-([Inventory Transactions]![Quantity]))

for some reason it does not work. It is not calculating current stock. If i remove stock it shows a negative amount based on the amount i removed, and when i add stock it shows a positive amount based on what i added

Sum Of Current Year Minus The Year Of A Date In Past?

Apr 25, 2014

I'm trying to add a couple of fields to the Contact database in Access 2010.

In the Contacts table, I created a field called "Sobriety Date" that has dates formatted like 12/27/1995

I am trying to add a calculated field called "Years Sober" which should be the current year minus the year in the 'Sobriety Date' field (1995 in the example above).

I have been trying to tweak this:

SUM(DatePart("yyyy",[Date]) - DatePart("yyyy",[Sobriety Date]))

but it's not working. Keeps giving me "The expression that you entered is not valid for web-compatible calculated columns"

Queries :: Sort Out Invoices By Year - Query Based On Combo Box To Show All Records

Mar 4, 2015

I am trying to have a query sort out my invoices by year but also to have the possibility to show all invoices.

I have one table "INVOICE" where I have a column "YEAR" calculated with DatePart function from the invoice date.

On my form "INVOICE LISTING", I want to have a combox "Combo957" selecting the year. I have forced the "ALL" selection to the combox using a UnionQuery.

My problem, I cannot get the query to work. I have tried many ways, the closest I can get is :

IIf([Forms]![Invoice Listing]![Combo957]="ALL",([Invoice].[Year])<Year(Date()),[Forms]![Invoice Listing]![Combo957])

If I select the year from the combo, it works, if I select "ALL" nothing is shown.

here is the full SQL

Queries :: Calculate Totals Column Based On Check Box Selections

Mar 15, 2013

I'm trying to create a query to work out the total amount to invoice based upon some selections. Currently my query looks at the values in several fields (numberOfRollsUsed etc) by taking the value in these fields and multiplying by a fixed amount to calculate the total.

What I would like to add to the query is fixed values based upon some check box selections. So if check box A is selected, add 5 to the total, is check box B is selected, add a further 10, and so on. All fields and check boxes are held within the same table (Job).

Am I being daft or trying to do something in the worst way possible? I'm actually adding this to an existing system so I don't have so many options to completely redesign the system to calculate this in a better way.
