I got a table with "ID" as autonumber field. However when I have ID numbers:

And I remove record 4, then I got

How can I make it fill up the missing "4"?

I am trying to create a query to find missing sequential numbers in a text field. I am using this specific field as a case number which is designated as two letters, the # sign, two digits indicating the year, a dash, and then a four digit number; For Example: AB#13-1234.

The reason for this query is to tell the user of this database that a specific case number has yet to be entered and needs to be. The case numbers are unique and will never be referenced more than once.

My table name is "MainDataTbl" and the field i'm trying to find the missing case numbers is titled "CaseNumber".

Missing Numbers

I have a sequencial number in my data base. It counts 1,2,3 all the way to 302344. I want to find missing records. How would I come up with the missing records in a separte database. In other words if I had 1,2,4,5,8,9. I would want to have a database that would show me 3,6,7 since they are missing.

Tables :: Accounting For Missing Values In A Calculated Field

I have a table that stores information for multiple behavioral surveys (numerical values). My goal is to add the proper fields that compose total scores value for each respective survey (do a summation of scores). Now, under design view for my table, I see that I can add a calculated field. When I create this calculated field, I can use the Expression Builder to do a sum of the proper fields (the fields that compose a total score for a survey). The only problem that I'm encountering is that if a field that is part of a survey is missing information, the summation disregards the rest of the values for that survey.

How can I account for these missing values so that, if 1 out of my 9 fields have information, I will still get a summation score for the 9 fields? I want to be able to do this without having to change the value of the missing field to 0.

In SPSS I can easily do this by computing a variable and using a code like this:
SUM.2(field1, field2, field3, etc.)

Find Missing Numbers

I think this would be done though a query but i am not sure, any help or examples would be useful on this on.

Question:

Is there a way of getting access to find missing numbers. for example if some one enters 0 - 5 then access will pull the following numbers 1,2,3 & 4.

I am not sure if this is possible so any help would be good.

Finding Missing Numbers In A Sequence

Hello, I have no idea what to search for to see if someone else has already asked this question. I've tried several things with no luck. So here goes...

I work in a library. We deal with thousands of journal subscriptions--we cancel our subscriptions and order new journals all of the time. Every paper journal we have is assigned a unique number, called a ZP number. When we throw out a journal, that ZP number can be assigned to a new journal.

I would like to find the earliest missing number in the sequence without having to check manually. Is there a way I can do a query or something to find missing numbers in the sequence? The ZP numbers start with 1 and go up to 9999.

So, I have two fields: Title and ZP#.

How can I do this?

This is a cloned table, used solely for assigning ZP#'s, so it can be altered in any way--including adding records with blank titles for each missing number.

Finding Numbers Missing In Sequence

Hi

I've searched the forum and only found one thread which covers this but doesn't help me.

I have a table with peoples individual information in it.

Every person has a unique ID number.

I want to find the missing ID numbers when I delete a person so I can keep the numbers in sequence.

I am not using autonumber. The reason for this is coloured wristbands. Each wristband has a unique number and they are broken into 4 colours. each colour has a number range 1 - 300, 301 - 600, 601 - 900, 901 - 1200. Each person in the table has to have an ID number matching a wristband. The people are also broken into 4 colour categories. This means that not every range is filled before i need to start using the next range.

Tables :: Lookups Displaying AutoNumber Instead Of Field Name

I have 3 tables: [SurveyVendor], [Surveys] and [SurveyResults]

SurveyVendor has 2 fields:
[VendorID] - PK
[VendorName]

Surveys has 3 fields:
[SurveyID] - PK
[VendorName] - FK
[SurveyName]

SurveyResults has 3 fields:
[SurveyResultID] - PK
[SurveyName] - FK
[SurveyQuantity]

I used the LookUp wizard to establish the relationships, and I chose to include 3 fields when linking [SurveyResults].[SurveyName] to [Surveys].[SurveyID]. I'd like the ID, Survey Name and Vendor Name to be displayed when making a choice in the combo box. And I would like the column to only display the SurveyName.

However, what's happening is the VendorID shows up instead of the VendorName when I click the combo box for [SurveyName]. And the SurveyID shows up in the column results, rather than the Survey Name.

Tables :: Autonumber Field - Cannot Add Record That Is Not High Number

I have a table with an autonumber field, which of course is indexed with no duplicates. Twice in recent days it has attempted to add a record with an autonumber that is not the high number - it is about 20 numbers below the high number. So we get a 'can't add this record' error.

I can fix this by copying the table to a temporary table and then copying it it back. Then the autonumber works correctly.

What can I do to prevent this? By the way we updated to Access 2010 a couple of weeks ago, but the data is still Access 2003. We are reluctant to update the data yet in case it causes more problems.

Tables :: Broken Relationships When Field Changed To Autonumber

I created a database with 10 tables and 8 relationships. Then, I learned about the Autonumber field type and decided that I wanted that to be the primary key of one of my existing tables, for a field that was already linked to 2 other tables. I had to delete the relationships and the original field to make the change, and Access said it had to delete an index, too. Now, Access won't allow me to re-establish those relationships.

I found that I had to change the fields in the other tables to match the Autonumber type and name of the original field, but now I am getting an error message stating, "Invalid field definition 'CustomerID' in definition of index or relationship. What does that mean? The field types and names are all the same.

I have created 2 tables:

StaffID
StaffTrainingID

Table 1 (StaffID) - contains all personal details in the form of forename + surname + position + email + contact numbers ect. Each field/person has an autonumber.

Table 2 (StaffTrainingID) - contains all mandatory training/lectures (18 fields in total). I don't wish to list each staff member again in table 2 so have put a StaffID field in (data type is number).

However, when I try to type in the StaffID number in that field so I can link that person to the relevant training he/she has taken, Access won't allow it.

When I tried paste some data using front end to my database, Access showed error (can't create record because data would be duplicated). I thought it's impossible because it is autonumber field. So I checked it (manually). I did copy of my database and then for testing, I created record. I was shocked. Next record should has a value of "160" but Access gave "130" then showed an error "Can't create record because data will be duplicated". Of course after compact and repair everything is fine.

Tables :: Numbers / Text And Null All In One Field Linked From Excel

I know you can't store text in a numeric field but I always thought you could store numbers in a text field - provided you didn't need to do any calculations on them. My problem is as follows:

I receive an Excel 2003 spreadsheet once a month, which I save to a specific filename/location overwriting the previous file. My Access 2003 database uses this as a linked table and (among other things) runs an append query to add the new data onto an existing table.

We have now added a new column called Reference in the spreadsheet. Often, this will be empty, but it could contain numbers or text. This is the first month I have received it and most entries are blank (including the first row) but further down there are some numeric values.

So I added a new Reference field to my main table and set it to text. Then I amended the append query to include the new field. But when I run it I get the error "Numeric field overflow". If I take that column back out of the query, it runs fine, so that's definitely the offending data. And when I open the linked table in Excel and scroll down to where I should see the reference numbers, I see #Num! So it looks to me like it doesn't recognise numbers as text.

Things I've already tried

In Excel, I formatted all the Reference cells as text.

That didn't work, so next I added a dummy record at the top of the Excel file (just under the headings), with zeroes in the numeric columns and 'X's in the text columns including Reference.

But that doesn't work either. Given the above circumstances, what's the best way to proceed with this?

Controlling Autonumber Field - Start Autonumber From 1 Everyday (Composite Key)

I have two tables linked to each other in one to many relationship. Instead of auto number, the date and shift (Text) is being used as the primary keys (Composite Primary Key). Here is the tables structures,

Payouts Table:
Date: Primary Key
Shift (Day or Night) : Primary Key

Bills Table:
Date: Primary Key
Shift (Day or Night): Primary Key
Autonumber: Primary Key

The tables Payouts and Bills has one to many relationship. One payout row can have many bills. The problem is that I want to start the Autonumber in bills table everyday from 1. As date and shift are different for every day so even if i start bills from 1 everyday, it wont make same primary key. I can do it manually but I want to make it automatically.

I have a table, at the table I'v got these fields:

ID | num1 | num2 | sum

I want that the user put numbers at 'num1' and 'num2' fields and then the 'sum' field will calculate automatically the operator (sum=num1+num2).

I've tried to put any combination at 'Default value' of the sum field (all the fields are numbers , also tried to change the sum field to text...nothing works).

I'm getting a message that 'num1' field is not recognize at the table

(I tried =[num1]+[num2], without the '=', num1.table+num2.table , ...nothing works)

I also tried to do it with SQL command but it dosn't work.

There is any way to do it, is it possible? Or other way to do it at least at Form or at Report ?

Tables :: Linking Tables With No Common Data And Different Numbers Of Observations?

I am doing a project where we are collecting home owner data and information on all the dogs in the household. The data for homeowner has an autonumber primary key because no field is unique or has been consistently collected. I am struggling to link the data for the dogs to the owners because an autonumber primary key will not work since not all homes have dogs. I need to have this set up so that people who are not tech savvy can look up each homeowner (or dog) and get the dog (or home owner) information. And to make things even more fun we need up to 15 potential dogs per household each of whom will have 18 different pieces of data collected.

It looks a little like this (and you can see my not matching ID issue):

Homeowner table
ID First Name Last Name...........Total Dogs
1 Max Maximus 5
2 Min Minimus 0
3 Mus Musculus 1

Dogs 1-5 table
ID Date Dog 1 Name Dog 2 Name .......Dog 5 Name

Min will have no dog records at all, just home information.how to link the dog's to the homeowners .

Tables Missing

I have a database that has just been split. In the back end, I don't see the tables. I have gone to Tools>Options>View and found that Show Hidden Objects is checked. When I go to the front end, the links to the tables show up and I can open them and see the data. When I check the Linked Table Manager, I see that the path for the links is leading to the back end database.

I also noticed that on the bottom of the screen, the buttons for the front end show the name of the front end database and have blue page-like icons, but the button for the back end has only the pink key icon. Also, when I try to link another mdb to these tables, the window for selecting the table for linking is empty. I also notice that suddenly, any time I close an Access database, it goes through a compact and repair cycle. This just started happening today. I'm fairly sure that yesterday I could see the tables in the back end.

Oh, yes. Just remembered one other thing. Not everyone here has that location on the network mapped to the same drive. In order to accomodate everyone, the linked table manager was set up with the complete path to the folder:

\companyname.comfolderlevel1folderlevel2folder level3...ackend.mdb instead of
J:.....

Using Windows XP and Office 2003

There is no verticle scroll bar as was mentioned in another post I found when doing a search on "Hidden Objects".

Any ideas where I should try next?

Updating Tables With Missing Keys

Hello,

I'm designing a database that is used both in the office and field and it has two tables - an "office" table and a "field" table. The office table is a list of addresses, cities, and counties, each with a custom-designed key field. The field table contains equipment information at each location specified in the office table.

What I want to do is set up the database so that field personnel can copy an updated office table (with new locations added or old locations removed) into their databse and click something and have the tables "resync" with each other - the field table automatically adding new records to match those in the office table or delete records it has that it doesn't find in the office table...

Any thoughts or helpful links?
